Local Showings Guide:
This guide is a comprehensive guide for all things Local Showings. Local Showings is a hub for all things property showings. Some of the key points that will be addressed in this guide are as follows:
- Navigating Local Showings
- Managing showings for listings
- Managing customers and customer responses
- Easily accessible calendar to keep track of showings
- Create driving tours to easily map out multiple showings in the same day
Local Showings Overview Page
This can be accessed by clicking on the "Local Showings" button in the left-side navigation. The landing page will look something like this:
There are a few important points to note on the landing page for Local Showings. Working from the top down, the breakdown of the interface:
1) The Local Showings Header:
This will follow you on all the Local Showing pages, NOT just the landing page. In the top right, you can see the 'New Showings' Button, as well as a 'Calendar' button. These let you easily create a showing, as well as get back to the calendar view quickly so that you do not have to come back to this page.
2) Showing Status Quick View:
The quick view will allow you to see the status of your showings at a glance. As seen in the example, there are multiple statuses for showings (This will get touched on later in the guide) and each status will display in its own colored tile. Clicking on these tiles will pull up their respective showing status listings.
3) Local Showings Quick Tiles:
These tiles are pretty straightforward, and link you to their respective part of Local Showings (i.e. 'Listings' will display the listings that can be chosen from, 'Contacts' will show the list of contacts you have, and so on) These pages can also be accessed via the left-side navigation under the 'Local Showings' dropdown.
4) Local Showings Calendar:
The calendar functions as an organizational tool for all of your showings. This defaults at a monthly calendar view, but it can also be sorted to the weekly or daily level with their respective buttons on the top left of the calendar. The 'List' sort button works a little different, where it will only display the showings that are going on during the week. This view is pretty handy to see what showings are coming up at a glance.
Adding a Showing
This can be done with the 'New Showing' button found in the top right of the header on any Local Showings page.
Following clicking the button, you will be able to search for/find the listing you would like to add a showing for.
To create a new showing for a listings, find your listing on this page and hit the 'New Showing' button on the corresponding listing. Upon clicking this, you will be taken to the page below:
Here you will get a brief overview of the property, as well as the familiar calendar view. To schedule the listing for a time, you need to interact with the calendar to choose the time you would like. Once you select the timeblock you would like, you will be taken to another page (seen below) to finalize the details of your showing.
Under these showing details, just about everything about the showing can be edited and the fields are broken down below:
Showing Date: The date that the showing will take place. This can be changed by clicking the calendar icon to the right.
Showing Time: This is set based off of what you selected on the previous page on the calendar time blocks. The time the showing lasts for can be changed in the dropdown adjacent to the time and can be set to 15, 30, 45, 60, & 90 minutes respectively.
Contact: You can add the contact you would like to have set for this showing with the 'Select Contact' button. This searches your contact list, so make sure the customer is added to that list if you cannot find them.
Showing Type: This dropdown is for designating the showing as one of the following options: 'Showing', 'Inspection', or 'Photography'.
Your Name, Email, & Phone: These should auto-populate based off of your profile; however, they can be edited if need be. You do get notified via text message of the showing request once it is created.
Comments: Anything else you would like to add in about the showing.
Once this is all completed, hit 'Save' and the showing will be created and you'll be taken to the showing page:
This page will be the final hub for the showing for the listing where you will see the same brief overview of the listing as well as all the details pertaining to the showing. The showing can also be canceled from this page with the red 'Cancel' button. This will bring up a pop-up that will ask for a cancelation reason as well as another action to cancel the showing so that you do not do it accidentally.
Chat Box - When a listing is scheduled, the showing agent, as well as the listing agent will be able to communicate back and forth via the chat box next to the Showing Details. This chat updates in live time and can be a quick way for agents to communicate with each other.
Showings Page
This page can be accessed via the 'Showings' tile on the landing page, or with the 'Showings' link in the 'Local Showings' drop-down in left hand navigation.
On this page, you will see a few familiar aspects carried over from the Local Showings landing page. Mainly, the header, and the tiles that show the showing statuses.
You can specifically filter out your showings depending on their status with the 'Status' dropdown. The different types of statuses a showing can have (Approved, Pending, Declined, Cancelled, & Shown) can all be selected and filtered here.
Examples of this filtering are as seen below:
Lastly, this page's interface also provides a mini calandar for your showings. This functions in the same sense as the main calendar, but in a smaller format which displays based on the showings you have set up.
Listings Page & Showing Queue
The listings page can be accessed via the 'Listings' Tile, 'Listings' under the Local Showings dropdown in the side navigation, and the 'New Showing' button.
This page was addressed in the 'New Showing' section of the guide briefly, but to touch a bit more on it, this page can do the following:
- Search for locations based off criteria with the 'Search Locations' auto-completer
- Change the amount of results per page
- Adding a showing for a single listing (addressed in 'New Showing' section)
- Add a listing to the showing queue
We will now address the 'Add to Queue' button and the showings queue. The Showing Queue can be used to quickly schedule out multiple showings. To access this, you need to add some listings to the queue with the afforementioned 'Add to Queue' button.
Once there are listings added to the Showing Queue, you will see a new button on your header to the left of 'the New Showing' button.
Clicking this will bring you to the Showing Queue page, where you can schedule out multiple showings quickly.
On the Showing Queue page, you'll notice a few different things. Starting with the showing date, and agent information. You can choose the date you would like to set up for this showing queue via the 'Showing Date' box, or by clicking on the date with the calendar adjacent to the information. From here, the rest of the showing information follows the same path as doing a singular showing.
The final thing of note for the showings queue is setting the time and length of the showings on the bottom half of this page:
With this section, you will see all the listings you added into your showing queue. Here, you can set a time for each one to happen on the day you chose, as well as how long you would like the showing to be for using the dropdowns. Lastly, you can also remove listings from the queue using the trash button located on the top right of the listing you would like to remove. After you have everything finalized, make sure to hit 'Save' to get your showings scheduled for the listings!
Contacts Page
The contacts page can be accessed with the 'Contacts' tile from the main landing page, or via the 'Contacts' link in the Local Showings dropdown on the left side navigation.
This page will act as a hub for contacts/customers. You can view existing customers, edit existing customers, and add new customers for showings as well. If you have a CRM with us, this contact list will auto-sync with the Local Showings list.
Searching for customers:
This can be done by manually looking through the pages, or you can search by name or email with the filter search boxes at the top of the interface.
Viewing/Editing Existing Customers:
If you click on a customer's name you will be presented with their profile page. Here you can edit it (via the 'Edit Profile' button), add notes, and view the showings they are signed up for.
Adding a New Customer:
This can be done via the 'New Customer' button in the top right of the Contacts page interface. Doing so will present you with the following pop-up.
Here you will fill out all of the information needed to create a customer and get them ready to be set up with showings! Just be sure to save when you are done entering their information.
Drive Tour
The last major function of Local Showings is the 'Driving Tours' page. This can be accessed (like all other pages) with it's respective tile and title in side navigation under Local Showings. The landing page for this function looks like below:
Here you can view your existing tours, as well as add new driving tours. These tours consist of multiple showings in the same day, and will provide driving instructions as well as the times for the showings.
Adding a New Tour:
You can do this by hitting the 'Auto Tour' or 'New Tour' buttons. Auto Tour makes you select the contact the tour will be for beforehand, while the New Tour lets you set up the tour, and then add contacts.
The new tour page will start like this. Here you will make the name of the tour, as well as picking the date. If you have a showing or another tour already on the date you choose, the system will alert you as seen in the photo here before you move forward. After hitting the 'Next' button, you will move on to the steps part of the tour:
Here, you will pick your starting location, and then add new locations to the tour. By hitting the 'Add to Tour' button, you can add places based off showings you have on this day, or an address.
If you have a showing on the day of the tour, you can add it with the green '+' button and that reserves the showing for this tour. You can also pick an address on the 'Address' tab and add that to the tour. Once you finish adding the showings you want, hit 'Save Changes'
Following this, a few things will change since you have locations added to your driving tour. The interface will be updated to include your starting point, as well as the locations you picked. This will also update the map sort of like how a GPS would.
The last interesting part is the 'Driving Directions' tab, which when you have locations set, will give you detailed step-by-step directions:
These can be copied/pasted into a word doc to be printed, have your browser print the page, or copy/pasted to a customer in an email if needed.
Wrapping up your driving tour, just make sure you hit the green 'Save' button on the steps tab, and your driving tour set-up is complete!
Deleting a Drive Tour:
Like deleting a showing, this can be done with the trash can icon in the top-right corner of the tour on the main Drive Tour page
